Youth Hockey Committee
The Youth Hockey Committee is composed of between ten and eighteen adult volunteers who are considered voting members, and who have at least one child playing during the regular winter season. Other individuals may be asked to be on the youth hockey committee who do not meet the ‘playing child’ rule, but will not have voting rights. Responsibilities of the youth hockey committee members includes (but is not limited to) promoting the mission statement of MAYHA and the sport of youth hockey; participating in youth hockey registration annually; assisting with league service and fundraising activities for youth hockey, if needed; serving on subcommittees (listed below); regularly attending all youth hockey meetings; helping to maintain fiscal responsibility associated with the youth hockey budget (established annually); encouraging adherence to all GIR, USA Hockey, MAYHA, and Youth Hockey rules and regulations on the part of all families and youth players.
Voting members of the Youth Hockey Committee are volunteers who represent families from both Travel and House teams. Every effort will be made to solicit one representative from each of the Travel and House age groups. For Travel, this includes: Mite, Squirt, Pee-Wee, Bantam, High School Boys, and High School Girls. For House, this includes: Termite, Mite (these two categories may be combined), Squirt, Middle School, High School Boys, and High School Girls. Each representative is encouraged to participate in one of the Youth Hockey Position (outlined below).
All parents of hockey-aged children are encouraged to attend youth hockey meetings; however, it is expected that Youth Hockey Committee members will make every attempt to attend monthly meetings. In the event that a member must be absent from the meeting, they will be marked as excused as long as they notify the YHC Secretary by the day of the meeting. Three unexcused absences will rescind a member’s right to vote until reinstated. Reinstatement will occur when that member has attended three consecutive meetings. The purpose in doing this is to ensure continuity in committee discussions and knowledge of the issues facing the committee. If a voting member misses more than six meeting in the hockey year (September 1 – August 31), they will be asked to reconsider their position on the Committee, and must also be reinstated to gain voting status. Any new member to the Youth Hockey Committee must attend a minimum of three consecutive meetings before voting rights are earned. If both parents of a child/children belong to the youth hockey committee, there is only one vote per family.

B. Position descriptions
Chair: Serves as facilitator at the meetings. Helps to set the agenda, ensures follow-though for old and new business, establishes ad hoc committees as needed and/or recommended by the Youth Hockey Committee or the GIR Board; ensures compliance with USA Hockey, GIR, MAYHA, and Youth Hockey rules and regulations. Voting member. One-year position.
Vice-chair: included in all chair discussions. Steps in for the Chair in her/his absence. Serves as the ‘Chair-in-Waiting’, and will take over for the Chair after the conclusion of their term. Voting Member. One-year position.
Secretary: records meeting minutes, posts minutes on the web, distributes minutes at youth hockey meetings, obtains agenda from Chair and disseminates (electronically is OK) to all Youth Hockey Committee members at least one day prior to the monthly YHC meeting, and keeps on file all documents/correspondence connected with the organization (Secretary will pass this information on to the succeeding secretary). Voting Member. One-year position.
Treasurer/Registrar: Supervises proper registration procedures for all youth hockey players, ensures proper registration of coaches/assistant coaches, compiles and submits rosters to appropriate groups, coordinates with rink office and GIR treasurer, makes deposits, collects money and mails invoices, arranges to have checks issued through GIR. Must have sufficient time to devote to task, as well as familiarity with accounting practices and general business (proficiency at Quickbooks).
Equipment Coordinator: arranges for distribution of rental equipment and checks equipment back in at end of season, collects rental checks and turns over to treasurer/registrar in timely manner, takes on responsibility of (or assign to another) issuing, collecting jerseys (NOTE: the equipment coordinator is not responsible for ordering new jerseys – it is the responsibility of the E.D.).
League Service Coordinator: compiles reports of league service hours (reporting is the responsibility of the parent, not the LS coordinator), solicit volunteers for non-youth tournaments, public skate, and Maulers concessions (concession stand coordinator also helps with this), works with team managers to solicit volunteers for non-regularly scheduled youth hockey games, generates quarterly progress reports to each family (with valid email address) re: service hours.
Fund-raising Coordinator: compiles reports of fundraising amounts for youth-hockey-approved functions (e.g., Cookie Dough, scrip, dog show stewards, UM football parking lot duty), assigns coordinators for cookie dough and scrip functions, generates quarterly progress reports to each family (with valid email address), submits checks from unfulfilled fundraising families to YH Treasurer for cashing.
Concessions Coordinator: helps to find volunteers to staff the concession stand during Maulers and public skate events, helps to restock items, trains concession staff volunteers, fills in as concession staff volunteer if necessary for Maulers games.
Tournament Director: serves as the liaison between the Youth Hockey Director and the team Tournament Coordinator during the set up and running of the tournaments for Youth Hockey. This position will also ensure that all staple items needed for the tournament are available for each tournament, including trophies, game schedules, lock room schedules and volunteer schedules.
Scholarship Coordinator: works with YHC to obtain sources of scholarship monies for in-need families, enlists helps of other YHC and non-YHC members to elicit funds from various sources.
MAHA Representative: represents MAYHA interests at all MAHA meetings, attends all MAHA meetings and reports back to the YHC after these meetings (including teleconferences), solicits YHC input prior to any votes in state organization decisions. Position elected annually in June per MAHA guidelines. An individual may serve more than one year in this position.
Photo Coordinator: serves as liaison with photographer and team coaches and managers to ensure that team and individual photographs are taken, makes sure that team photos are posted on rink bulletin boards.
Team Manager: In addition to the above positions, each team will also designate a team manager. A travel team manger will act as the liaison between coaches and family members (NOT between coaches and players), collect coaching fee monies from team families, schedule non-league and tournament games, reserve hotel rooms for league and non-league games, distribute appropriate information regarding fundraising and league service needs, and schedule parents to work as off-ice personnel (e.g., scorekeeping, penalty box, music, clock) and to work in concessions during games. A house team manager will act as the liaison between coaches and family members (NOT between coaches and players), distribute appropriate information regarding fundraising and league service needs, and schedule parents to work as off-ice personnel (e.g., scorekeeping, penalty box, music, clock) during games. Team managers are welcome to attend youth hockey meetings as needed.

Meetings are the 3rd Tuesday of the month at 6:00 pm in the concession stand.
