Parent Feedback Procedure
Parents wishing to raise a concern with the Youth Hockey Committee (YHC) should follow these steps:
-
Confirm the Scope of the Concern
Ensure that the concern or idea falls under the YHC’s responsibilities. Does it relate to a specific guideline or policy outlined in the Youth Hockey Guidebook? If not, parents should follow the chain of command outlined in the guidebook. -
Identify the Policy
Parents must identify the specific policy they wish to discuss with the YHC. -
Initial Discussion
Parents are encouraged to first discuss their concern with one of the following:- Youth Hockey Director
- Age Group Representative
- YHC Board Chair
If the parent still wishes to bring the concern to the full YHC after these discussions, they must follow the procedure below.
-
Submit a Written Request
Parents must submit a written request at least seven (7) days before a scheduled YHC meeting. This request should be sent to both the Youth Hockey Director and the YHC Chair. The request must include:- The policy to be considered
- The specific change being requested
- Ideally, a suggested solution or modification to the policy
If the concern does not fall within the YHC’s jurisdiction, the parent will be directed to the appropriate person.
-
Presenting the Concern at the Meeting
Parents who follow the procedure will be invited to share their concerns or ideas during the next scheduled YHC meeting. The agenda will allocate approximately 10 minutes for public comment at the beginning of the meeting.- This time is for the YHC to listen and understand the concerns.
- YHC members may ask questions for clarification, but there will be no debate or discussion of the issue during this period.
- No decisions will be made during the open comment session.
